Start with the work, not the software

Buying an AI tool does not resolve unclear processes, fragmented information or uncertainty about what staff may share. We look at the task, the people doing it, the information it depends on and the risks of getting it wrong. Recommendations can include changes to responsibilities, content preparation and approval processes as well as software.

The goal is effective adoption while maintaining data sovereignty, data privacy and regulatory compliance. We support the technical and organisational decisions behind those goals; compliance still requires the right deployment, contracts and ongoing practices.

Pilots and implementation

Turn a selected use case into a scoped proof of concept. Agree the content, participants, integration needs and evaluation criteria before implementation. Compare useful outputs, failure cases, effort and operating costs rather than judging a tool by a polished demo.

Typical outputs: An agreed pilot scope and success criteria, implementation support, evaluation findings and recommendations for the next stage.

Training and adoption

Help staff use AI appropriately within their roles. Work through practical examples, source checking, sensitive-data handling and the limits of generated answers. Align responsibilities and workflows so the tool becomes useful day-to-day rather than an isolated experiment.

Typical outputs: Role-specific workshops, practical operating guidance, an adoption plan and clear responsibilities for ongoing review.

Make sensitive-data decisions explicit

Before selecting a workflow, establish which documents, personal data or confidential information it will use and what can leave your organisation. Review where processing occurs, who can access content, what is retained and which commitments are contractual rather than assumptions about a tool.

  • Data sovereignty: ownership, processing locations, access and deployment boundaries.
  • Privacy: necessary information, appropriate controls and the handling of sensitive content.
  • Retention: distinguish provider retention from the application's documents, conversation history and operational logs.
  • Human responsibility: who reviews outputs, approves changes and handles errors or incidents.

For ContentCloud Enterprise deployments, model-provider processing uses EU regions and Zero Data Retention commitments are defined by the deployment agreement. Those commitments do not automatically extend to third-party tools selected in an independent engagement. We assess each tool's actual terms and configuration rather than treating all AI services alike.

A practical route from uncertainty to adoption

  1. Understand. Review the workflow, goals, information and constraints with the people responsible for it.
  2. Prioritise. Select a useful and manageable starting point and agree what success looks like.
  3. Test. Run a scoped pilot and evaluate output quality, source checking, costs and operational fit.
  4. Adopt. Plan the rollout, organisational changes, staff training and ongoing review responsibilities.

The scope can be a single team's workflow or a broader adoption roadmap. A pilot and a product trial are different: a trial evaluates an available product, while a consultancy pilot can include discovery, tool comparison, integration work and change management.

Do we need to buy a ContentCloud product?

No. We can study your workflows and recommend tools and organisational changes regardless of which tools are chosen. A ContentCloud product may be appropriate for a particular task, but a subscription is not a condition of the consultancy engagement.

Who is this for?

EU institutions, public bodies, enterprises and SMEs that want to use AI effectively but need help choosing use cases, protecting sensitive information and organising adoption. We work with operational teams, IT, security and data-protection stakeholders as appropriate to the scope.

Can you help us understand what happens to sensitive data?

Yes. As part of the engagement, we examine the information flows, processing locations, access needs and retention requirements of the proposed workflow. Provider no-training terms, Zero Data Retention, application storage and your own regulatory responsibilities must be assessed separately.

What are the fees and initial steps?

Contact us with your workflow, objectives and constraints. We agree the scope, deliverables, responsibilities and commercial terms before starting. Consultancy is separate from product subscriptions and the CCBot trial; no fixed platform-wide fee or free assessment is implied.
